**Key Responsibility**:
**Team Meeting Organization**:
Schedule and coordinate internal and external team meetings, ensuring all necessary participants are invited and availability is confirmed.
Prepare meeting agendas, distribute relevant materials, take minutes during meetings and follow up on action items and deadlines to ensure timely completion.
**Vendor Creation and Oracle Transactions**:
Create new vendors in the Oracle system, ensuring accurate and up-to-date information.
Collaborate with team members to gather necessary vendor details and documentation.
Process purchase requisitions (PRs) in Oracle based on requests received from team members.
Generate purchase orders (POs) within the Oracle system once invoices are received and validated.
**Payment Transaction Recording and Tracking**:
Record all payment transactions accurately, including invoices, receipts, and payment details.
Track payment due dates and ensure timely payment processing and maintain a comprehensive payment log and reconcile transactions regularly.
Collaborate with the finance department to address any payment-related discrepancies or issues.
**Database Management**:
Oversee the team's database on the shared drive, ensuring proper organization and easy access to information.
Regularly update and maintain the database, ensuring data accuracy and confidentiality.
**Expense Reimbursement Support**:
Assist team members with expense reimbursement processes, including reviewing and validating expense reports, ensuring compliance with company policies.
Liaise with the finance department to facilitate timely reimbursement.
**Qualifications**:
Bachelors degree in Business Administration or related field.
Strong organizational skills and the ability to multitask effectively, excellent communication skills, both written and verbal and proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with Oracle or similar vendor management systems is required and Attention to detail and a high level of accuracy in data management.
Ability to work independently and collaboratively in a fast-paced environment.
Discretion in handling confidential information and strong problem-solving skills and a proactive attitude.
