JOB POSITION
JOB RESPONSIBILITIES
* Manage and maintain company documents and records in an organized manner, including filing, tracking, distribution, and archiving.
* Prepare and control business documents, correspondence, reports, meeting minutes, and presentations.
* Coordinate meetings, appointments, travel arrangements, and business schedules as required.
* Coordinate with internal departments and external parties to ensure smooth communication and timely document submission.
* Prepare payment requests and supporting documents, coordinate purchase requisitions (PR), and follow up on the approval and payment process with relevant departments.
* Coordinate maintenance and service contracts for office equipment and office facilities.
* Maintain both electronic and hard-copy filing systems to ensure documents are accurate, up to date, and easily accessible.
* Support general administrative and secretarial activities to ensure the smooth operation of the department. JOB QUALIFICATIONS
* Bachelor’s degree in business administration, Management, or a related field.
* Minimum 8 years of experience in General Administration, Project Secretary, or Document Control.
* Good knowledge of document control, record management, and office administration.
* Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook); experience with K2 or SAP is an advantage.
* Strong organizational skills with attention to detail and the ability to handle multiple tasks.
* Good communication and coordination skills with internal and external stakeholders.
* Fluent in English both written and verbal (Minimum 750 TOEIC score).
* Goal–Oriented, Unity, Learning, Flexible.
