Job Summary:

Responsible for managing and overseeing HR administrative functions and general affairs to ensure smooth daily operations.

Responsibilities

  • Coordinate hotel and accommodation reservations for guests and management team
  • Arrange transportation for guests, including pick-up and drop-off services
  • Welcome and take care of visitors, customers, and management team
  • Prepare meeting rooms, meeting equipment, and refreshments
  • Coordinate internal and external meetings
  • Perform general administrative duties and office support tasks
  • Coordinate and supervise security guards and housekeeping staff
  • Manage and control contracts and related documents (e.g. service contracts, rental contracts)
  • Handle expense claims, petty cash, and related payment documents
  • Prepare reports and administrative documents as assigned
  • Coordinate with internal departments and external vendor

Qualifications

  • Bachelor's degree in any related field
  • At least 1–3 years of experience in administrative or office support roles
  • Good coordination and communication skills
  • Proficient in MS Office (Word, Excel, Outlook)
  • Service-minded, well-organized, and able to multitask
  • Able to work independently and under pressure
  • Proactive and able to support work via mobile phone during holidays as required
