Position Summary:
The Finance & Administration Clerk is responsible for supporting the finance team in daily financial operations, including processing transactions, maintaining accurate records, reconciling accounts, and managing invoices. The role also involves verifying expense claims, performing routine clerical tasks, and assisting with ad hoc assignments to ensure smooth and efficient finance operations.
Key Responsibilities:
1. Cashier & Finance Responsibilities
- Prepare and record bank journal entries accurately and in a timely manner.
- Assist in managing transactions and payments through the bank system.
- Reconcile receivables and payables on a regular basis to ensure accuracy.
- Assist in reviewing account balances to ensure correctness in the balance sheet.
- Process supplier payment invoices and prepare customer receipt invoices.
- Organize, label, and maintain invoice and payment records for audit and reference.
- Maintain accurate daily bookkeeping and financial records.
- Support preparation of employee expense claims and verify reimbursement documents.
- Assist the finance team with any ad hoc tasks assigned by the Finance Supervisor.
2. Administrative & Coordination Duties
• Handle general administrative tasks, including receiving interview candidates, managing visitors, and supporting basic office reception needs.
• Coordinate procurement of office supplies and ensure adequate stock levels are maintained.
• Maintain positive and collaborative working relationships with internal teams to support smooth operational flow and cross-department coordination.
• Assist in organizing documents, scheduling internal appointments and supporting routine office operations
3. Additional Responsibilities
• Perform any other duties or tasks assigned by the supervisor or management to support departmental needs and overall company objectives.
• Provide assistance during peak periods or urgent situations to ensure operational continuity.
What Will Make You Successful:
- Diploma or Degree in Accounting, Finance, or a related field.
- 1–2 years of relevant experience in a finance or accounting role is preferred.
- Basic knowledge of accounting principles and bookkeeping practice.
- Proficient in English; Chinese language skills are an added advantage.
- Willing to learn, hardworking, self-motivated, and able to work independently.
- Presentable, responsible, and customer-oriented with strong interpersonal and communication skills.
- Ability to maintain confidentiality and handle sensitive financial information.
