Assistant Administration Manager

Job Purpose:
To support and assist in leading the overall administrative operations of WICE Group, ensuring efficient management of office administration, procurement, and facility functions across all offices, warehouses, and regional branches. The Assistant Administration Manager will play a key role in optimizing ensuring operational excellence, cost efficiency, and compliance to support WICE's logistics and supply chain operations.
Key Responsibilities:
- Supervise and manage the administration team to ensure smooth daily operations and alignment with company policies and procedures.
- Oversee general administrative activities including office management, document control, asset and inventory management, and company utilities.
- Manage procurement and vendor management processes—source suppliers, negotiate contracts, control budgets, and ensure timely delivery of goods and services.
- Conduct vendor evaluations and monitor supplier performance to ensure quality and compliance with company standards.
- Monitor and maintain company buildings, facilities, office renovations, security, and housekeeping services to ensure a safe and efficient workplace.
- Coordinate administrative support for logistics and warehouse operations, including site visits to offices or distribution centers as needed.
- Manage administrative budgets and implement cost-control measures to improve efficiency.
- Collaborate with cross-functional teams (HR, Finance, Operations, and IT) to support business activities and strategic projects.
- Develop and improve administrative policies, workflows, and standards to enhance operational performance.
- Lead, coach, and develop the administration team to achieve performance goals and maintain high morale.
- Perform other related duties as assigned by the Administration Manager or senior management.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Age 30–45 years old.
- Minimum 5 years of experience in administrative and procurement functions, and at least 5 years in a supervisory or managerial role.
- Experience in logistics, supply chain, or transportation business will be considered an advantage.
- Proven leadership, problem-solving, and organizational skills.
- Ability to communicate in English (speaking) will be an advantage.
- Proficient in Microsoft Office and ERP systems, with experience using or implementing digital tools for administration and procurement considered an advantage.
- Strong knowledge of office administration, purchasing processes, facility management, and vendor relations.
- Strong communication and negotiation skills with cross-functional stakeholders and external partners.
- Able to travel to WICE warehouses or branch offices as required.
