Job Purpose

The School Reception serves as the first point of contact for parents, students, and guests. This role provides frontline communication, administrative support, and ensures efficient coordination of daily school operations. A key responsibility is to monitor and follow up on student attendance, ensuring accurate records and timely communication with parents/guardians and relevant departments.

Key Responsibilities
1. Communication and Coordination
  • Welcome and greet parents, students, visitors, and external partners in a professional and friendly manner.
  • Answer incoming calls, emails ), and inquiries; provide accurate information or direct them to the appropriate department, and ensure timely relay of messages between departments and parents or external contacts.
  • Support communication for school announcements (e.g., class closures, health and safety notices). Stay updated on school announcements, news, and events.
2. Student Attendance Monitoring
  • Record and update daily student attendance using the school's system (Toddle) and cross-reference with face scanning.
  • Follow up with parents regarding student absences, late arrivals, or early pickups (assist the Student Service).
  • Ensure all attendance records meet school, accreditation, and regulatory requirements.
  • Prepare daily, weekly, and monthly attendance reports for the Head of School. Ensure that the daily attendance report is acknowledged and signed by the Head of School.
  • Coordinate with class teachers, heads of academic departments, and the school leadership team regarding attendance issues or concerns.
3. Safety and Security
  • Monitor visitor entry and exit in accordance with the school's safeguarding procedures.
  • Exchange visitors' IDs for visitor badges and ensure they are returned upon departure.
  • Support verification of parent IDs to ensure that only authorized guardians pick up students.
  • Report any incidents, emergencies, or school concerns to the Security Team immediately.
  • Ensure confidentiality and secure handling of student and school records.
4. Administrative Support
  • Assist with document preparation such as letters and announcements.
  • Support school events, parent meetings, and visitor registration processes.
  • Carry out any additional tasks assigned by the supervisor.
Qualifications & Skills
  • Bachelor's degree in any field.
  • 0–3 years of experience in a receptionist, administrative role, or office coordination.
  • Strong proficiency in Thai and English (written and spoken); additional language(s) are a plus.
  • Customer service mindset and ability to support families with professionalism and empathy.
  • Highly organized, detail-oriented, and accurate in data handling.
  • Excellent interpersonal and communication skills.
  • Strong skills in Microsoft Office and Google Workspace.
  • Ability to handle sensitive information with discretion and integrity.
Preferred Qualifications
  • Experience in an international school or multilingual education setting.
  • Familiarity with Student Information Systems (e.g., Toddle, PowerSchool, iSAMS, etc.).
  • Familiarity with academic calendars and curriculum structures such as IB, British, or American systems.
