**Position Overview**
The Culinary Administrative Assistant will be responsible for providing clerical, secretarial and administrative support for the Director of Culinary and culinary team.
**Key Relationships**
Internal - All Departments within the Hotel
External - Contractors, Vendors and Suppliers, Local institutes where trainees are concerned
**The Role**
- Provide Administrative Support
- Preparing correspondence, arranging conference calls and scheduling meetings
- Manage and maintain Director of Culinary' schedules, appointments and travel arrangements
- Monitor, screen, respond to and distribute incoming communications and correspondences
- Handle enquires and follow up on menu requests
- Organizing and maintaining files and records
- Planning and scheduling meetings and appointments
- Record, transcribe and distribute minutes of meetings
- File and retrieve documents, records and reports
- Answer and manage incoming calls
- Liaise with internal colleague of all departments at all levels
- Receive and interact with incoming visitors
- Arrange and co-ordinate meetings and F&B promotion events
- Manage Learning and Development
- Review operating practices and implement improvements where necessary, such as PEP, Unifocus, Revinate.
- Train all culinary colleagues on various programs (HotSOS, QIAF, CheckSCM, E-Leave, E-Casual Labour) including utilizing computer (Universal desktop) and printer.
- Provide guidance and assistance to all colleagues on such as reimbursement forms filling and submission procedure.
**Qualification**
- Has a Diploma in secretarial or equivalent (have some knowledge of food)
- Has Hotel experience in the luxury sector or Upscale Restaurant
- Possess a good command of the English and the ability to communicate clearly and pleasantly, both verbally and written towards internal and external guests
- Good knowledge of Microsoft Excel, Word, PowerPoint
- Has a pleasant and outgoing personality
- Willing to work flexible hours, including weekends, holidays when required
- Possess professional image and positive personality
- Have knowledge of the local hygiene requirements
